Terms and conditions

These terms apply to all trips sold by The Wild Agency. They complement the written proposal provided before each booking, which sets out your itinerary, your price and what it includes. Where the two differ, the accepted proposal prevails. These terms are a translation provided for convenience; the French version is the binding one.

1. Who sells you the trip

Our trips are package travel within the meaning of article L211-2 of the French Tourism Code. The Wild Agency is responsible for the proper performance of all travel services in the package, including those provided on the ground by our partners.
2. From quote to booking
- Your request, through the form, by email or by phone, is free and without obligation.
- Our written proposal describes the day-by-day itinerary, accommodation, what is and is not included, the total price, the payment schedule, entry formalities and cancellation terms. It states how long it remains valid. Accommodation is only held once you book: availability cannot be guaranteed before then.
- Your booking is confirmed once you have accepted the proposal in writing (an email is enough) and we have received your deposit. We then send you the confirmation, which forms the contract, together with these terms.
- Before departure, you receive your travel documents: final itinerary, contact details for your accommodation and local contacts, domestic flight tickets.
3. Price
Prices are in euros, per person based on two people sharing a room, unless otherwise stated. VAT not applicable, article 293 B of the French General Tax Code.
Usually included: accommodation, full board in lodges, park entrance fees, vehicle and guide, transfers and domestic flights where the itinerary requires them. Not included unless stated in your proposal: international flights, visas, travel insurance, premium drinks, tips, personal expenses and optional activities.
Price revision
A large share of services is paid locally in US dollars. In accordance with article L211-12 of the French Tourism Code, the price may be revised up or down only in the event of changes in:
- the cost of fuel;
- taxes and fees, including park entrance fees and permit prices set by the authorities;
- the euro / US dollar exchange rate compared with the rate stated in your proposal.
No increase may be applied less than 20 days before departure. If it exceeds 8% of the total price, you may accept it or terminate the contract free of charge. Any decrease is passed on to you; we may deduct the administrative costs actually incurred, with supporting evidence.
4. Payment
- 30% deposit of the total price when you book.
- Balance due 60 days before departure; we send one email reminder.
- For bookings made less than 60 days before departure, the full price is due when you book.
- Gorilla and chimpanzee permits are paid in full when you book, in addition to the deposit: they are issued in your name and bought immediately from the park authorities.
Payment is by bank transfer or any other method shown on the invoice. If the balance remains unpaid 7 days after an unanswered reminder, we may treat the booking as cancelled by you, and the charges in section 6 then apply.
5. No cooling-off period
The 14-day right of withdrawal that applies to distance purchases does not apply to package travel (article L221-2 of the French Consumer Code). You may, however, cancel at any time before departure under the terms below.
6. If you cancel
You may cancel at any time before departure, in writing (by email). Cancellation charges apply, calculated on the total price of the trip excluding permits, according to the date we receive your request:

Gorilla and chimpanzee permits are not refunded by the park authorities: their price remains due whatever the cancellation date. We will nevertheless try to have them moved to other dates when the authority allows it.
These charges reflect the sums we commit to lodges and partners, who apply strict terms themselves. Cancellation insurance may reimburse them (see section 15).
Exceptional circumstances. If unavoidable and extraordinary circumstances at or near the destination prevent the trip, or significantly affect its performance or the carriage of passengers to the destination (conflict, natural disaster, serious epidemic…), you may cancel free of charge and receive a full refund, without further compensation (article L211-14 of the French Tourism Code). Official government travel advice serves as a reference.
Any refund due to you is paid within 14 days.
7. If you want to make changes
We will do our best to adjust your trip after booking (dates, accommodation, activities), subject to availability. Charges actually made by our partners and any price difference are payable by you. A change that amounts to replacing the trip with another (moving to another season, changing country) is treated as a cancellation followed by a new booking.
Services you choose not to use on the ground are not refunded.
8. Transferring your trip
You may transfer your trip to someone who meets the same conditions (age, entry formalities) by informing us in writing no later than 7 days before departure (article L211-11 of the French Tourism Code). You and the new traveller remain jointly liable for payment of the balance and the transfer costs, which are the actual costs incurred (for example, name changes on tickets and permits). Some permits and air tickets cannot be transferred: we will tell you beforehand.
9. If we have to change or cancel
Before departure, we may make a minor change to your trip (timing, replacing a camp with another of the same standard in the same area); we will inform you clearly.
If we have to significantly change a main feature of the trip or increase the price by more than 8%, we will propose the change in writing, with its effect on the price. You may then accept it, or terminate the contract free of charge and be refunded in full within 14 days (article L211-13 of the French Tourism Code).
If we have to cancel the trip, you are refunded in full within 14 days. You are also entitled to compensation, unless the cancellation is due to unavoidable and extraordinary circumstances and we notify you as soon as possible before departure.
10. During the trip
A safari follows the rhythm of nature. Your guide may adjust the order of visits, timings or tracks to follow the animals, because of weather, road conditions or park instructions: such adjustments are part of the experience.
If a service does not match what was agreed, tell your guide and us without delay (phone or WhatsApp on +33 6 70 76 71 79) so that we can put it right on the spot. If we cannot, you may be entitled to a price reduction and, where appropriate, compensation (articles L211-16 and L211-17 of the French Tourism Code).
If you are in difficulty during your trip, we provide prompt assistance: information on health services and consular assistance, help with communications and finding alternative arrangements (article L211-17-1).
11. Our liability
The Wild Agency is fully liable for the proper performance of all travel services in your package, whether provided by us or by our partners on the ground (article L211-16 of the French Tourism Code).
We are not liable for a problem attributable to you, to a third party unconnected with the travel services that is unforeseeable or unavoidable, or resulting from unavoidable and extraordinary circumstances.
Except for personal injury or damage caused intentionally or negligently, compensation is limited to three times the total price of the trip (article L211-17 of the French Tourism Code). Where international conventions limit the liability of providers (air transport in particular), those limits also apply.
Services you buy directly on the ground, outside your package, are not our responsibility. Your luggage and personal belongings remain in your care throughout the trip.
12. Flights
International flights are not included: you book them yourself, which leaves you free to choose your dates. Delays or cancellations of these flights are not our responsibility; allow a sufficient margin before the start of your safari and let us know immediately if there is a problem.
For included domestic flights, we tell you the name of the airline before departure. Small bush planes usually allow 15 kg of luggage per person, in soft bags: we will give you the exact limit. Schedules for these flights may change; excess baggage charges are payable by you.
13. Passport, visas and health
Our proposal sets out entry formalities for French nationals, the time needed to obtain them and health recommendations. Travellers of other nationalities should check with the relevant embassies; we are happy to point you in the right direction.
- A passport valid for at least 6 months after your return, with blank pages, is required.
- Each country requires a visa or electronic travel authorisation, to be obtained before departure.
- A yellow fever vaccination certificate may be required on entry or between countries; malaria prevention is often recommended. See your doctor or a travel clinic several weeks before departure.
Obtaining documents and complying with formalities is your responsibility. A traveller who cannot board or enter a country for lack of valid documents is treated as having cancelled, and the charges in section 6 apply. Also check your government's official travel advice.
14. Fitness, ages and wildlife
Safaris involve long hours in a vehicle on rough tracks, and some activities (gorilla or chimpanzee trekking, walking safaris) require good physical fitness. Tell us before booking about any health, mobility or dietary issue so that we can propose a suitable trip.
Authorities set minimum ages, for example 15 for gorillas and 12 for chimpanzees in Uganda. Minors travel with their parents or an authorised adult. Some lodges do not accept young children.
The animals are wild: sightings cannot be guaranteed, and not seeing a particular species does not give rise to a refund. For your safety and that of the wildlife, follow your guide's instructions and park rules.
15. Insurance
No insurance is included in our prices. We strongly recommend insurance covering assistance and repatriation, medical expenses abroad and cancellation. Some credit cards provide partial cover: check the limits. We may ask for proof of repatriation cover before departure.
16. Photos and image rights
We never use a photo or video in which you appear, or a photo you have taken, without your prior written consent.
17. Complaints and mediation
Complaints may be sent in writing to thewildagencysafari@gmail.com, preferably within a month of your return, with any supporting documents. We will reply as quickly as possible.
18. Personal data
The information needed for your trip is handled as explained in our privacy policy. It is shared only with the providers of your trip, including outside the European Union, because this is necessary to perform it.
19. Governing law
These terms are governed by French law. This does not deprive you of the protection of the mandatory rules of the country where you live. In the event of a dispute, and after trying to reach an amicable solution, you may bring proceedings before any court permitted by consumer law, including the courts of your place of residence.
20. Your key rights
Standard information form for package travel contracts
The combination of travel services offered to you is a package within the meaning of Directive (EU) 2015/2302 and article L211-2 II of the French Tourism Code. Therefore, you will benefit from all EU rights applying to packages, as transposed into the French Tourism Code. The Wild Agency will be fully responsible for the proper performance of the package as a whole.
Key rights under Directive (EU) 2015/2302, as transposed into the French Tourism Code:
- Travellers will receive all essential information about the package before concluding the package travel contract.
- There is always at least one trader who is liable for the proper performance of all the travel services included in the contract.
- Travellers are given an emergency telephone number or details of a contact point where they can get in touch with the organiser or the travel agent.
- Travellers may transfer the package to another person, on reasonable notice and possibly subject to additional costs.
- The price of the package may only be increased if specific costs rise (for instance, fuel prices), and if expressly provided for in the contract, and in any event not later than 20 days before the start of the package. If the price increase exceeds 8% of the price of the package, the traveller may terminate the contract. If the organiser reserves the right to a price increase, the traveller has a right to a price reduction if there is a decrease in the relevant costs.
- Travellers may terminate the contract without paying any termination fee and get a full refund of any payments if any of the essential elements of the package, other than the price, are changed significantly. If before the start of the package the trader responsible for the package cancels it, travellers are entitled to a refund and compensation where appropriate.
- Travellers may terminate the contract without paying any termination fee before the start of the package in the event of exceptional circumstances, for instance if there are serious security problems at the destination which are likely to affect the package.
- Additionally, travellers may at any time before the start of the package terminate the contract in return for an appropriate and justifiable termination fee.
- If, after the start of the package, significant elements of the package cannot be provided as agreed, suitable alternative arrangements will have to be offered to the traveller at no extra cost. Travellers may terminate the contract without paying any termination fee where services are not performed in accordance with the contract and this substantially affects the performance of the package and the organiser fails to remedy the problem.
- Travellers are also entitled to a price reduction and/or compensation for damages where the travel services are not performed or are improperly performed.
- The organiser has to provide assistance if the traveller is in difficulty.
- If the organiser becomes insolvent, payments will be refunded. If the organiser becomes insolvent after the start of the package and if transport is included in the package, repatriation of the travellers is secured.
